PROPOSED Policies & Procedures
Article I – Name and Purpose
- The name of the organization is the “Santiago Women’s Club”.
- The purpose of the Santiago Women’s Club is to make every effort to provide a desirable schedule of social, charitable, artistic, travel and any other activities that women members may deem to be enjoyable and informative.
Article II -- Membership
- Membership is open to any and all women who reside in The Villages.
- Technically there is no “membership” role. Anyone who attends the luncheon and participates in Santiago Women’s Club activities is a member.
Article III – Luncheon Meetings
- A monthly luncheon meeting will occur on the first Monday of the month at
Savannah Recreation Center unless a Monday holiday requires rescheduling. June luncheon is scheduled at an area restaurant. There are no scheduled luncheons in July and August.
Article IV – Finances
- Annual Dues $10 paid in January.
- The monthly luncheon fee will cover the cost of lunch, beverage, tax and gratuities.
- The 50/50 drawing will cover organizational items including but not limited to decorations, newsletter publication, and entertainment and charitable giving for the monthly luncheon.
- Individuals will be reimbursed for appropriate club expenses. Anything in excess of $100 must be approved by the Board.
- NOTE: On April 22, 2022, The Board voted to include the cost of catering, entertainment, and dessert in the monthly luncheon fee. The funds received from the 50/50 drawing were no longer covering the shortfall.
Article V – Board
- Santiago Women’s Club elected Board will consist of the following: President, Vice-President, Secretary, and Treasurer.
- The Board receives no compensation other than for approved expenses.
- Monthly board meetings are generally held the Monday following the luncheon or at the discretion of the President and/or Board and shall be attended by all Board members and Committee Chairpersons
Article VI – Board Term of Office
- A nominating committee of two to four members of the membership will be formed in September each year to solicit nominees. The committee will present the slate of candidates at the October luncheon. Elections will take place at the November luncheon. Notification to elected members will be made as soon as possible. Installation of new officers at January luncheon.
- The term of office will begin with installation of officers at the regular January luncheon. All Board members elected or nominated will serve for one (1) year and are eligible for re-election or reappointment with the following exceptions: Exception shall be for the office of Vice-President who shall serve their one (1) year term of office and then move up to assume the office of President for a one (1) year term.
- NOTE: In November of 2020, the club began voting electronically instead of in-person. This allows more participation by all members instead of only those who attend luncheons.
